How fast replies and proactive offers grow your Airbnb income
Guests want answers in minutes, not hours. Why instant replies protect your reviews and search ranking, and how timely offers raise what each stay earns.

When a guest has a question, the answer is worth most in the first few minutes. A fast reply turns a small worry into a good moment. A slow one turns it into a problem, and problems end up in reviews.
The hosts who earn the most per booking do two things well: they answer instantly, and they reach out before the guest has to ask. This guide explains why both matter on Airbnb, and how HeyConcierge does them for you.
In short:
- Guests ask most of their questions when you are least available: late arrivals, early mornings, in another language.
- Airbnb says your response rate affects your Superhost status and where you appear in search, and guests rate communication and check-in separately after every stay.
- Being proactive means sending what the guest needs before they ask: check-in details, local tips and offers such as late checkout.
- Offers sent at the right moment earn money from hours that would otherwise earn nothing.
- HeyConcierge answers guests in seconds, day and night, in their own language, and drafts timely offers for you to approve.
Why do guests need answers right away?
Because their questions are rarely casual. Think about when a guest actually writes to you:
- At the door at 23:00 after a delayed flight, unable to find the key box
- At breakfast, wondering why the WiFi password doesn't work
- On checkout day, asking if they can leave their bags for a few hours
- In Spanish, German or Japanese, while you are asleep in another time zone
Each of these has a deadline. A guest who waits outside in the rain for an answer remembers the wait, not the view. A guest who can't get online works from a café and starts wondering what else is wrong. Most of these questions take seconds to answer. What makes them costly is the delay.
Does response time affect your Airbnb ranking?
Yes. Airbnb describes several ways it counts:
- Response rate. Airbnb defines it as the share of new inquiries and reservation requests you answer within 24 hours over the past 30 days, and says it affects your Superhost status and search placement.
- Superhost. Among other requirements, you need to respond to 90% of new messages within 24 hours and keep an overall rating of 4.8 or higher.
- Search. When it orders homes in search results, Airbnb says its algorithm considers the Superhost criteria, including how responsive the host is.
- Reviews. After every stay, guests rate communication and check-in as separate categories, next to cleanliness, accuracy, location and value. The communication question is simply whether the host responded to messages promptly.
One detail matters here. Airbnb's response rate counts messages in your Airbnb inbox, mostly from people who haven't booked yet. Questions during the stay often arrive somewhere else, by text or WhatsApp. They don't change your response rate, but guests remember them when they rate your communication and check-in.
What is proactive guest communication?
Proactive means sending guests what they need before they have to ask. Good hotels work this way: the front desk tells you the breakfast hours and the WiFi before you think to ask.
For a vacation rental, that looks like:
- A welcome message with the check-in steps, door code and parking, ready before arrival
- Practical tips for the area: the nearest grocery store, the quickest bus to town
- An offer at the moment it's useful: late checkout before departure day, early check-in when the place is ready
Every message you send first is one question less at a bad time. It also tells the guest that someone is looking after them, which is what the communication rating measures in practice.
How do proactive offers raise what each stay earns?
Most hosts price the night and stop there. Hotels learned long ago that some of the easiest revenue comes during the stay, from things the guest already wants:
- Late checkout. A guest with an evening flight will happily pay to keep the place until the afternoon.
- Early check-in. A guest who lands at 08:00 wants a shower and somewhere to leave the bags.
Both earn money from hours that would otherwise earn nothing, and guests are glad to be asked. The hard part is timing. A late checkout offer is useless once the guest has packed, and early check-in only works when the previous guest has left and the cleaning is done. Doing this by hand for every booking, in every guest's language, is where most hosts give up.
Before you sell extras, check the rules of each platform you list on. Airbnb, for example, wants payments to take place on its platform and requires changes to the number of nights to go through its own change-reservation tool.
How HeyConcierge does both
HeyConcierge is an AI concierge for vacation rental hosts. Guests scan a QR code in the property or tap a link in your booking message, and a chat opens on WhatsApp or Telegram. They can also text it by SMS. No app to download, no account to create.
Instant answers, at any hour. It replies in seconds, day and night, in whatever language the guest writes in. Answers about your property come only from what you have told it: WiFi, check-in steps, house rules, parking and your own local tips. For the world outside your door, it looks up nearby restaurants and shops, distances, the weather and activities guests can book.
It knows when to bring you in. When it doesn't know the answer, it offers to check with you and alerts you on WhatsApp, Telegram or SMS. A guest who is locked out, a leak, no heating or anything to do with safety goes straight to you. Questions it couldn't answer appear in your dashboard, so you add the answer once and every future guest gets it.
Proactive from the start. Add a guest to a booking and HeyConcierge sends them a welcome message on WhatsApp or SMS. Before each stay it drafts offers such as late checkout and early check-in, timed to the property's local check-in and checkout times. You approve them in your dashboard and they go out in the guest's chat. The guest replies YES and pays by card through a payment link. You receive the price minus HeyConcierge's 10% fee and the card processing fee.
How do you get started?
- Paste your calendar link from Airbnb, VRBO, Booking.com or any other iCal feed.
- Add your property details, or upload the house guide you already have.
- Share the WhatsApp number with guests, or print the QR code.
- Approve your first offers when they appear in your dashboard.
Does HeyConcierge reply in my Airbnb inbox?
No. It talks to your guests on WhatsApp, Telegram and SMS during their stay. Keep answering new inquiries in your Airbnb inbox yourself. With the questions during the stay taken care of, you'll have the time to answer them fast.
What does it cost?
€9 per property per month. You can sign up and look around without a card. The 30-day free trial starts when you connect HeyConcierge to real guests, and there is no setup fee. You can cancel anytime.
